Learn how to assign users and structures to each stage of the process in TERRAND, enabling the creation of efficient workflows tailored to the execution of each process.
Introduction
In the Assignment stage, users and structures responsible for executing each phase of the process are configured. Defining these elements ensures an organized and efficient workflow, guaranteeing that the right people are involved in each corresponding stage.
Additionally, it is possible to configure different workflows for the same process, allowing the assigned users to vary depending on the chosen structure. This provides flexibility and customization in executing the process, adapting it to different operational scenarios.
Below, we explain how to create and configure workflows within a TERRAND process.
Steps to Create a Workflow
1 - Start Creating the Workflow
Click the "ADD" button to begin configuring a new workflow.
A new line will be added on-screen with the general information of the workflow.
Click the "v" button to expand the configuration and complete the specific data.
2 - Configure the Workflow Information
- Workflow Name: Enter a descriptive name that reflects its purpose within the process.
- Associated Structure:
Select the type of site or asset to which the workflow will apply.
Once selected, an additional field will appear to choose the specific site or asset.
Use the access button to expand the list of available options and select the necessary items.
3 - Configure the Inventory
If the process includes fields related to inventory management (stock discount or addition), select the inventory that will be linked to the workflow.
4 - Define the Workflow Stages
- Users and Teams:
Assign the users or teams responsible for executing each stage of the process.
By activating the access button, you will be able to view the list of available people and teams to select from. - Actions Associated with the Stages:
- Stage Skip: Configure rules that allow automatic progression to a subsequent stage under specific conditions.
- Email Sending: Set up automatic emails to be sent to the users of the current or next stage.
- Scheduling: Define if the next stage must be executed at a specific time by configuring its schedule.
Finishing the Workflow
Once all stages and workflow assignments are configured, save the changes to confirm the defined structure.
This will ensure that the process runs in an organized manner, with the appropriate users at each stage and with automated actions that optimize its progress.
